Appointment Management and Cancellation Policy
It is the aim of our practice to provide quality and timely dental care to our patients and to use clinical time effectively. This allows our patients to access services at a time that suits them, and minimises waiting times for appointments.
We have invested in systems, including text reminders, to allow our patients to make or reschedule appointments easily. If requested, text/email reminders are sent to patients both 7 and 2 days before any appointment and patients are requested to inform the practice of any changes to their contact details. Should you prefer specifically email/text/phone reminders , please contact our reception team. Our goal in communicating our cancellation policy is to avoid any charges being passed on to our patients and to ensure appointments can be allocated effectively.
Short notice cancellation or failure to attend
If your appointment time becomes inconvenient for you, we are always happy to change it. However, please kindly contact us with at least 24 hours’ notice. This allows us to offer the appointment to another patient who may be in urgent need of our care or waiting for a cancellation.
Late cancellation (within 24 hours of your dental appointment time), may result in a charge of £10 per each 10 minutes. For hygienists appointments, the late cancellation fee is £5 for each 10 minutes.
Failure to attend your dental appointment may result in a charge of £20 per 10 mins or £10 per 10 minutes for hygienist appointments.
For NHS children, failure to attend or late cancellation of an appointment, may result in removal from our patient register due to high demand for these appointments.
We understand that cancellations are sometimes unavoidable due to illness or emergencies and we will take account of all valid circumstances and will generally waive the charge on the first occasion.
Cancellation of appointment by the practice
We will only cancel a patient’s appointment in unavoidable circumstances. In such cases, the patient will be contacted as soon as the practice is aware of the need to cancel or delay the appointment. At the time of contact, the patient will be offered a new appointment at the earliest time available. We will also offer for our patients to go on a short notice wait list should they be available for last minute appointments.
